Room Reservations

NOTE: WRW reservations are only for use by ASE/EM faculty, staff and students. The ASE/EM online Room Reservation System is currently only available on the WRW network. If you are currently using the WRW network, make your online reservations here.

If you are NOT currently on the WRW network (outside the building), please email your reservation request to ase-rooms@austin.utexas.edu using the subject title "Room Reservations Request."

All of the following information should be included in your email request:

  • Room
  • First and Last Name
  • Email Address
  • Phone Number
  • Activity
  • Start Date
  • Start Time/End Time

Please read the following policies. The person requesting a conference or classroom in WRW will be responsible for ensuring that these policies are adhered to. Failure to do so may hinder future reservation requests.

Room Availability

Classrooms WRW 312 and 413 are available Monday through Friday 8:00 a.m. to 5:00 p.m., unless other arrangements have been made with the Reception Desk in WRW 215. Please check out a room key and sign the log at the reception desk in WRW 215 before your meeting and return the key to WRW 215 at the end of your meeting.

Conference room WRW 310 is available Monday through Friday 8:00 a.m. – 8:00 p.m., Saturday 12:00 p.m – 8:00 p.m, and Sunday 12:00 p.m. – 8:00 p.m.  Conference room WRW 410 is available to ASE/EM faculty and staff Monday through Friday 8:00 a.m. – 8:00 p.m., Saturday 12:00 p.m – 8:00 p.m, and Sunday 12:00 p.m. – 8:00 p.m.   WRW 410 is available to student, groups, and organizations before 10 a.m. and after 4 p.m. The exceptions to the faculty/staff only rule between 10 a.m. and 4 p.m. will be organized courses that have no other possible location, dissertation defenses and oral qualifiers. 

For reservations scheduled between 8 a.m. and 5 p.m. Monday through Friday, please check out a room key and sign the log at the reception desk in WRW 215 and return the key to WRW 215 following your meeting. For reservations after 5 p.m. on weekdays and any time on weekends, please see an LRC proctor for room entry. LRC proctors are located in the LRC back room in WRW 205.

NOTE: During summer hours, conference room keys are only available for check out in WRW 215 Monday through Friday between the hours of 8:00 a.m. - 12:00 p.m. and 1:00 p.m. - 5:00 p.m.

ASE/EM student study groups can make room reservation requests for up to a four hour time block per day. These requests are subject to approval and may be rejected or moved to another available room in the event that these spaces are required for departmental use. NOTE: It is suggested that you plan your reservation scheduling to include set-up and clean-up time. This should help insure that all equipment requested is working properly and that you have enough time to set up refreshments, table arrangements, etc. if necessary. These rooms are sometimes scheduled with back-to-back meetings, so be SURE to plan for this.

Cancellation Policy

Please send an email to ase-rooms@austin.utexas.edu with any cancellations or changes as soon as possible via email or at (512) 471-7593. Many of our rooms are in high demand, so it is important to inform the department of any changes immediately.

Refreshments

Refreshments will not be provided, but you may bring your own. If you do choose to bring refreshments into WRW 410, please set them up on the counter/buffet area located in the back of the room. Do NOT place hot food or serving dishes onto any conference room tables, and please clean the tables and chairs after use.

Clean-Up

The requester should make sure that all tables, chairs and equipment are clean (please wipe down dirty tables, chairs, etc.) and returned back to their original locations to prepare for the next conference. Please leave window blinds open, turn off lights, close and lock doors, and return the room key to the reception desk in WRW 215 immediately after the event. It is the responsibility of the requester to ensure that the door is closed and locked immediately upon vacation the space.

Trash cans are provided in each room. Please put all trash in the cans provided upon leaving. Recycling bins are also located in the halls for disposal of aluminum cans.

The department of Aerospace Engineering and Engineering Mechanics has two telephones for conference calls. Faculty, staff and students may reserve a phone for business and class related conference calls.

Phone Availability

The conference telephones in WRW are available Monday through Friday 8:00 a.m. to 4:00 p.m. unless other arrangements are made. Make your reservation online here by selecting a WRW Conference Phone in the drop-down menu. Be sure to include the room number where you plan to use the conference phone in the "Activity" field in the online form.

If your request is approved, you must check the phone out by signing the log book at the reception desk in WRW 215 no earlier than 1 hour prior to your call.

Cancellation Policy

Please send an email to ase-rooms@austin.utexas.edu with any cancellations or changes as soon as possible or call (512) 471-7593. Should you not receive confirmation of your request within a reasonable time, please call (512) 471-7593. Failure to observe protocol may hinder futher reservation requests.

The following contains a brief description of room capacity and equipment available for each room.

WRW 410 - Conference Room

NOTE: Beginning with the Fall semester 2013, WRW 410 will be held for use of ASE/EM faculty and staff between the hours of 9 AM and 4 PM. Student groups and individual students may reserve for events before 9 AM and after 4 PM. The exceptions to the faculty/staff only rule between 9 and 4 will be organized courses that have no other possible location, dissertation defenses and oral qualifiers.

Seating: 7 interchangeable tables which can be set up as 1 large conference table or classroom style. 16 chairs on rolling pallets and 20 stackable chairs around the perimeter. Maximum capacity of 36-40. You MUST return the room to its original configuration after your meeting. Failure to do so may result in your loss of use for the room in the future.

Equipment: Overhead projector/automatic screen; Desktop PC; 2 Dry erase boards; Buffet area for refreshments.

WRW 310 - Conference Room

Seating: 1 table with 10 chairs on rolling pallets and 10 stackable chairs around the perimeter. Maximum capacity of 20.

Equipment: Overhead projector/automatic screen; Speaker phone; Room darkening shades; Doc cam; Console which supports both Mac and PC laptops; 2 Dry erase boards.
