Why is there a $400 Facilities Fee if I don't stay at the Portola Plaza Hotel?
In order to ensure the solvency of the conference participants who choose not to use the Portola Plaza Hotel for their entire stay will have a Facilities Fee of $400 added to the Conference Registration Fee.
We regret this necessity, but hotels and meeting rooms in Monterey, California are quite expensive. In order to arrange for MTDM 2008 to be held in this beautiful resort facility, we had to guarantee that a certain number of rooms will be occupied by meeting participants. Without this guarantee, the meeting rooms could not even be rented for the meeting.
What's the difference between Full and Student registration?
Both Full and Student registration include all technical sessions and plenary talks, and the Government Forum on Tuesday. Full registration also includes a ticket to the Reception and Banquet, and all plated meals. If a student would like to attend the reception and/or banquet, he/she can purchase guest tickets separately.
A student registration also requires that the student's Faculty Advisor be registered as well, and the student will need to provide the Advisor's name when he/she registers.
What forms of payment are accepted for conference registration?
Credit cards (MasterCard, Visa and American Express), checks, and wire transfers (bank transfers) are acceptable. To pay by check follow the instructions provided on the registration site. For wire transfers please contact Kate Joly (or call 512-475-7760) for instructions.

If my paper has been accepted for the conference, do I still need to register?
Yes, accepted authors must still register.
Will there be registration at the conference itself?
No, there will be pre-registration only. No registration will be allowed at the time of the conference.
Is there a Spouse registration?
There is no Spouse registration, although guest tickets can be bought for both the reception and the banquet, and guests will of course be able to sign up for the sight-seeing tour on Wednesday.
How do I sign up for the sight-seeing tour on Wednesday?

What does it mean that my registration is "incomplete"?
Your registration is incomplete if you have gone through the registration process, but one or more of the following is true:
- You have not yet paid.
- You have not provided us with a valid confirmation code from the hotel (or paid the $400 Facilities Fee).
- If you are registered as a Student, you have not given us the name of your registered Faculty Advisor, or your advisor's registration is not complete yet.
PLEASE NOTE: If your registration isn't complete by March 23, 2008 (a week before the conference), your registration will be cancelled, with no refund. At that point you will not be able to get a refund for your hotel reservation either (they will charge you for your whole reservation, regardless of whether you check in).
How do I cancel my registration?
To cancel your registration, you need to contact Kate Joly (or call 512-475-7760). Refunds will be given according to the schedule given in "Cancellations" on the Registration page.
If your cancellation means a change in the schedule (a different presenter for your paper, or a paper withdrawal), please let us know that as well.
Be sure to contact the hotel and cancel your reservation with them as well (see "Cancellations" on the Hotel page).
Can I transfer my registration to someone else?
Yes, you are always welcome to change the name on your reservation, without fee or penalty. Just contact Kate Joly (or call 512-475-7760). If this change also means a change in the schedule (a different presenter for your paper, or a withdrawal), please let us know that as well.
If I cancel my conference registration, what happens to my hotel reservation?
Nothing will change with your hotel reservation, it will remain valid (and subject to the refund policies outlined on the Hotel page).

If I split a room with another person, can we split the charges between two credit cards?
Yes. When you check in you can give the hotel a second credit card and have the room charge and taxes split between the two cards. Your initial deposit, however must be on only one card.
Do I need a credit card to make a hotel reservation?
Yes, you do. A deposit is required and the hotel will only accept credit card payments for this deposit.
How much is the deposit for the hotel reservation?
The deposit is the cost of one night's room, plus taxes.
When will the hotel deposit be charged to my credit card?
The deposit will be charged to your credit card within 24 hours of your making your reservation.
I have been given a couple different confirmation codes for my hotel reservation. Which one do you want with my conference registration?
Either one will do. The code you give us should either have 6 digits and start with "3", or 8 digits and start with "323".
What if my hotel confirmation code does not start in 3 or 323?
Enter the confirmation code you have, and we'll confirm it with the hotel.
What if the hotel conference block fills up, and I am unable to get the conference room rate?
In this case, you may contact Kate Joly (or call 512-475-7760) and she will add your name to a waiting list, to be notified in case of a cancellation.
The Facilities Fee will also be waived, of course.

What are the requirements for the short paper due on December 15th?
The short paper due December 15th must be no longer than 3 pages, and it must be in PDF format. It can contain special characters (unlike the abstract). It should be emailed directly to Kate Joly.
Is it too late to update the title, abstract, authors, etc?
At this point any changes can be made. Please send your updates and corrections to Kate Joly. After the deadline for the short papers, updates will be more limited.
Will there be a conference proceedings?
There will be no formal proceedings for the conference published, although a CD-ROM containing all the short papers will be included in the conference packet. For this reason, full length papers are not being requested.
In addition, the journal Mechanics of Time-Dependent Materials will be publishing at least one special issue dedicated to papers associated with this conference. The journal is not accepting submissions for this special issue yet, but if you are interested please email Kate Joly and let her know, to assist us in our planning.

If you cancel after January 31 (the deadline for a 90% refund), your paper will appear on the CD-ROM. Otherwise, no.
